The module enables sellers to significantly cut the time needed to list and manage items. When listing items in bulk, with a CVS file, sellers can avoid the item-by-item process. It helps users, on the long run, to efficiently manage the stock inventory. Uploaded files can contain multiple item features: condition, price, quantity, etc.

Getting Started

The Bulk Lister allows you to list and manage your items in bulk, using a CSV file. In general, you can list multiple items much quicker using the Bulk Lister compared to using the standard Sell Your Item process. The Bulk Lister is also a great option if you would like to import, manage, or even keep your inventory in sync with an external database, spreadsheet or website.   1. Select a template from the Bulk Lister page.
    From the Bulk Lister page, select a template to download based upon your needs. In general, we recommend that you start with the Auctions (Basic) template for auctions, and Store Items (Basic) template for store items. If you need to add additional fields which are not included in the (Basic) templates, you can easily do so as explained below.

  2. Open the template on your computer.
    To open the template which you download (which is a CSV file), you'll need a spreadsheet program such as Microsoft Excel. If you do not have Microsoft Excel, we recommend the free WPS Office .

  3. Fill in the template.
    For each listing you want to create, fill in one row within the spreadsheet, where the values you enter correspond to appropriate values for each header (see Fields below).

  4. Save the template.
    Save the template within your spreadsheet program, ensuring that it is saved as a CSV file (and not a Microsoft Excel .xlsx, etc. file)

  5. Upload any applicable images to the Bulk Lister > Image Manager.
    If your images are hosted on your own computer, upload them to the Bulk Lister > Image Manager (see Images below).

  6. Upload the template.
    Upload the template to the Bulk Lister, by clicking on the green "Select File" button, leaving the "Field Mapping Template" set to "Default", waiting for your file to finish uploading, and then clicking on the blue "Submit" button.

  7. Confirm and Submit.
    Once you upload your file, you will be presented with the option to map different fields to our own, and set advanced options. If you're using a Basic template, simply proceed to the bottom of this page and click on the blue "Submit" button.

  8. Review your newly created listings.
    Once you submit your file, we'll process it within the next few minutes. Once it's processed we'll send you an email, along with a report to review - which can also be access from the Members Area > Selling > Seller Tools > Reports page. The Bulk Lister Report will show you, line by line, if we successfully created a new listing, and if not, you'll see an error message as to why a new listing could not be created.

Fields

Each field you enter within your spreadsheet will correspond to a specific header. It's important to note that not all fields are "free text", in that certain fields only accept specific values. For example, the "category_id" field can only accept numeric ids as specified within the Bulk Lister > Categories page. Before filling out any information within your spreadsheet, please review the Bulk Lister > Fields page in more detail, to become familiar with each field, and what values are accepted therein:


Basic Fields

The Basic Fields which are included in the Basic templates are as follows:

name
This is the title of your listing.
category_id
This is the numeric category id which corresponds to your listing. Only valid numeric category ids as specified on the Bulk Lister > Categories page can be entered.
description
This is the description of your listing.
image
This is either a URL to your image (if hosted online) or the file name of your image (if hosted on your own computer - see Images below).
start_price or buyout_price
The Starting Price (auctions) or Buy It Now Price (store items) of your listing.
private_id (optional)
The Private ID of your listing. While optional, we recommend that all listings include a Private ID (or SKU). Note that when using a Private ID, it must be unique across all of your open listings. Including a Private ID will help you to manage your inventory, and allow you to easily Bulk Update your listings in the future.

Images

If your images are hosted on your own computer, you can easily include them within your Bulk Lister CSV file, by following these steps:

  1. Include the File Name in each row of your Bulk Lister CSV file.
    Within the "image" column, simply enter the name of each of your images (file extension is optional, but recommended). For example, if your image is named item100.jpg include "item100.jpg" within the appropriate row in your Bulk Lister CSV file. Note that the full file path of your image should not be included (ie: do not enter C:UsersTestitem100.jpg)
  2. Upload your images to the image manager.
    Before
    uploading your Bulk Lister CSV file into the Bulk Lister, proceed to the Bulk Lister > Image Manager page, and upload all of your images. Follow the on-screen instructions on the Bulk Lister > Image Manager page to upload your image.

Note: To include multiple images, place two pipe characters directly between the name of each within your field value, ie: image1.jpg || image2.jpg

Categories

As noted within the Fields section, certain fields only accept specific values, including the category_id field. You can review the list of acceptable numeric category id numbers from the Bulk Lister > Category page:

Magic Categories

One of the best ways to speed up the bulk listing process is by using Magic Categories, which allow you to enter a single specific numeric category id number for all of your listings, which is then replaced by the correct category for you magically! The following Magic Categories are currently available:

The Magic Category: Stamps will place each of your listings in the appropriate stamp category on HipStamp, based upon the Country included within your listing's title. If your listing does not include a Country do not use this magic category.

The Magic Category: Postcards will place each of your listings in the appropriate location based postcard category on HipPostcard, based upon the Country, State and/or City information included within your listing's title. If your listing does not include a Country, State and/or City do not use this magic category.

The Magic Category: Postcards by Topic will place each of your listings in the appropriate postcard category under the Topics (Themes) main category on HipPostcard, based upon the information included within your listing's title.


Default Listing Settings

For any fields which are not included within your (Basic) Bulk Lister CSV file, such as shipping costs, your Default Listing Settings will be used. As such, please review the settings you currently have set within the Members Area > Selling > Seller Tools > Default Listing Settings page.


Shipping Costs

If you need to set different shipping costs for one or more of the items within your Bulk Lister CSV file (different than your Default Listing Settings), please see the Bulk Lister - Shipping Costs page for additional instructions.

Item Specifics

If you would like to provide value for Item Specifics, such as "Main Character", "Stamp Condition", etc., you can do so by adding the appropriate Item Specifics fields to your Bulk Lister CSV file. Review the Bulk Lister > Fields page:

Each Item Specifics field will start with "item_specifics_", and can be added to your Bulk Lister CSV file by adding a new column with the corresponding field name. Alternatively, you can also download the "All Fields (Expert)" Bulk Lister template.


Allowed Values

Most Item Specifics can only accept specific values, as defined on  the Bulk Lister > Fields page.


Example

On HipStamp, the Item Specifics field: item_specifics_05_stamp_format, lists the "Allowed Values" as:
single, block, error, full-sheet, miniature-sheet, multiple, pair, plate-block, plate-number-coil, souvenir-sheet
Any values submitted other than the ones listed above will not be accepted by the Bulk Lister, and will be ignored.


Magic Item Specifics

Another great way to speed up the bulk listing process is by using Magic Item Specifics, which allows you to omit certain Item Specific fields from your Bulk Lister CSV file (do not include them as columns within your file), and we will magically fill in the appropriate values for you. The following Magic Item Specifics are currently available

HipStamp item_specifics_01_country If you include the Country (or Stamp Issuing Entity) within the Title (name) of your Listing, we will automatically assign the appropriate Country Item Specific to your listing.
HipStamp item_specifics_02_catalog_number If you include the Country (or Stamp Issuing Entity) and Catalog Number within the Title (name) of your Listing, we will automatically assign the appropriate Catalog Number Item Specific to your listing. To ensure accuracy, please enter the Country and Catalog Number within your Title in the following format: Country #X (ie: United States #1). Note that if you are not using the Scott Catalog, please prepend your Catalog Number with the Catalog's Abbreviateion (ie: United States SG25).
HipStamp item_specifics_04_condition If you include the Condition within the Title (name) of your Listing, we will automatically assign the appropriate Condition Item Specific to your listing. The Condition can be included in any standard stamp abbreviation. For example, MNH, MOGNH, Mint NH, etc. will all magically map to the Mint (NH) Condition.
HipStamp item_specifics_05_stamp_format If you include the Stamp Format within the Title (name) of your Listing, such as Block, Sheet, etc. we will automatically assign the appropriate Condition Item Specific to your listing.  The  Stamp Format  can be included in any standard stamp abbreviation. For example, PB, PlBlk, Plate Blk, etc. will all magically map to the the Plate Block Stamp Format.
HipStamp item_specifics_03_stamp_type If you include, or we magically add, the Country and Catalog Number to your Listing, we will automatically assign the appropriate Stamp Type, such as General Issue, Revenues, etc. Note that we currently only support Scott Catalog Numbers to magically assign this Item Specific.
HipStamp item_specifics_07_year_of_issue If you include, or we magically add, the Country and Catalog Number to your Listing, we will automatically assign the appropriate Year of Issue (when it is within our Catalog). Note that we currently only support Scott Catalog Numbers to magically assign this Item Specific.


Bulk Lister - Shipping Costs


Shipping Costs Overview

From the Members Area > Selling > Seller Tools > Postage Setup page, you define what your Locations/Regions are. For example, the default Locations/Regions will be "Domestic", which will be set to your own country, and "Everywhere Else", which includes all other countries. However, you can create additional Locations/Regions, such as "Canada", "Europe", etc. which contain the specific countries you list within.


Once your Locations/Regions are set up, from your Members Area > Selling > Seller Tools > Default Listing Settings, as well as each individual listing, you can create one or more shipping options. Each shipping option will allow you to enter the cost to ship the item, the cost to ship the item as an additional item (ie: Charge $2.00 for the first item, and $0.10 for each additional), the name of your shipping option (ie: First Class Mail) and the Locations/Regions which the option is available in.


Bulk Lister Shipping Costs (Basic)

The easiest way to set your shipping costs when using the Bulk Lister is to omit shipping costs from your CSV file entirely - which will then default to your Postage settings as defined in Members Area > Selling > Seller Tools > Default Listing Settings. If you want to update these settings, please visit the Members Area > Selling > Seller Tools > Default Listing Settings page before using the Bulk Lister.


Bulk Lister Shipping Costs (Advanced)

When using the Bulk Lister, if you need to include different shipping costs for your listings (other than your default setting as specified on the Members Area > Selling > Seller Tools > Default Listing Settings page), you can accomplish this by adding your custom postage fields to your Bulk Lister CSV file. Your custom postage fields are based upon the options you make available in Members Area > Selling > Seller Tools > Default Listing Settings, and allow you to set the per item and per additional item costs for each listing. To use this feature:


Step 1 - Review the Default Listing Settings

First, ensure that your Locations/Regions are set to those which you want to be available for use within the Bulk Lister. You can review these settings from the Members Area > Selling > Seller Tools > Postage Setup page. Once you confirm your Locations/Regions, ensure that you have appropriate options set within the Members Area > Selling > Seller Tools > Default Listing Settings page. The per item, and per additional shipping items costs themselves are not important, as you will overwrite these within your Bulk Lister CSV file. However, you will need to ensure that you have the appropriate Options to Locations/Regions set up.


Example

For example, if you want to offer shipping to the United States, Canada, and Everywhere Else, and you want to offer a First Call Mail and Priority Mail option - and you want the per item, and per additional item rates to be different for different items within your Bulk Lister CSV file, the first step would be to ensure you have "Domestic" (or United States), "Canada", and "Everywhere Else" set up from within the Members Area > Selling > Seller Tools > Postage Setup page. Next, on the Members Area > Selling > Seller Tools > Default Listing Settings page, you would want to add 6 rows to your default Postage settings. Here's an example of what those 6 rows may looks like:
